Job Description

Under the general direction of the Executive Director, Pipeline and School Partnership Programs, the Program Assistant will be responsible for providing day to day, administrative and logistical support to the Executive Director, Coordinators, Pipeline staff and volunteers, in order to successfully manage pipeline program initiatives, research projects, associated activities and events.

Required Qualifications

EDUCATION:
• High School Diploma required
• Regionally accredited Bachelor’s degree in communications, public relations, business administration or related field, preferred.

EXPERIENCE:
• Three (3) to five (5) years of office experience
• Previous work experience in project support, or involvement in a communications capacity

LICENSES/CERTIFICATIONS:
• Current driver’s license, insurance and vehicle for work-related travel

TRAVEL
• Up to 10% of the time

Essential Duties

• Provide operational and administrative assistance to the Executive Director and Associate Director of Pipeline and School Partnership Programs.
• Interface with k-12 students to promote various Pipeline Programs.
• Compose and produce business correspondence and other materials that assists staff to complete their required work assignments.
• Schedules interviews and files for interviews.
• Schedules campus visits and meetings.
• Manage student applications for Pipeline Programs.
• Assists in the development of new programs.
• Assists in the development of new programs.
• Organize and maintain Pipeline program office space.
• Create and manage various systems to track student data and attendance at events.
• Create and maintain files for students in the Pipeline Programs
• Manage Pipeline Program calendar, create meeting agendas and record and distribute meeting minutes.
• Coordinate special events, speakers, partnerships, and activities that directly impact Pipeline program outcomes.
• Effectively communicate feedback from students to Executive Director and other Pipeline staff.
• Assist in the coordination and implementation of conferences, events and activities that directly impact Pipeline Programs.
• Stay current with all Pipeline Programs, funding sources and other information.
• Assist with the collection of outcome data for progress reports, quarterly reports, annual reports and statistics.
• Manage Qualtrics and other systems utilized by pipeline program administrators
• Provide weekly program updates to the Executive Director and other staff as requested.
• Assist in the planning and execution of White Coat ceremony and field trips for students.
• Assist Pipeline Program PI’s in the grant writing process.
• Ensure all material are kept strictly confidential
• Create and enhance marketing material
