Job Description

The Administrative Assistant will perform varied and specialized administrative duties to assist with the day-to-day administration of Comparative Medicine and assist management with complex details and advanced administrative assignments. Provide administrative support for the department and clerical support for the Vivarium to ensure compliance with all operational requests from the Veterinarian.

Required Qualifications

EDUCATION:
• Vocational/Specialized training beyond High School.

EXPERIENCE:
• Two to four (2-4) years of experience with administrative support functions.
• Previous Senior Secretarial training or experience.

Minimum Requirements

KNOWLEDGE/ABILITIES/SKILLS:
• Ability to type 50 wpm.
• Ability to utilize the MS Office platform, including Word and Excel.
• Good organizational skills.
• Good verbal and written communication skills including grammar.

Preferred Qualifications

EDUCATION:
• Regionally accredited AA degree or equivalent combination of education and experience. Bachelor degree preferred.

Essential Duties

• Type correspondence, reports, memoranda, special projects, technical papers and related material for department staff as requested. Maintain supply inventory and prepare purchase orders as needed for acquisitions.
• Maintain appointment calendars(s). Schedule and coordinate meetings, workshops, seminars and conferences for IACUC members, and research faculty and staff. Secure facilities and equipment and coordinate travel and lodging arrangements. Prepare needed materials and information.
• Take dictation, prepare minutes, and reports by collecting and organizing data and determining appropriate format for displaying results.
• Participate in department events and outreach activities for the University which may require off-campus travel.
• Respond to requests for information requiring knowledge of department and University policies and procedures.
• Serve as internal resource to faculty and administrators. Provide support and coordination of Research faculty appointments.
• Assist with updates to the Research website.
• Develop and maintain all governance and compliance manuals, policies, procedures, minutes and other official correspondence associate with the Animal Care and compliance program. Assist with planning, organizing, and developing newsletters related to regulatory affairs and the Research teaching and training program.
• Develop and maintain a filing and administrative system for protocol reviews, federal and compliance reports, and other confidential information and data as specified by compliance regulatory requirements and department protocol. Ensure confidentiality of records and control access to information. Keep records of all protocols, minutes, program reviews, facility inspections and other relevant audits associated with federal, state, and local regulations. Develop and maintain research databases of the department’s governance and operational documents in accordance with AAALAC
• Assist with the execution of AIACUC and other committee protocol reviews. Develop and perform an administrative review of all animal research and compliance protocols for the department to ensure compliance with USDA, OLAW, and AAALAC standards. Assist with developing and executing communications between the PI and IACUC committee members in the administrative review of research protocols.
