Job Description

The Fourth Year Medical Student Coordinator coordinates and assist in the general administration of the Medical Student Affairs Office including Fourth Year Student Activity Coordination/College Foundations, Student Support Services, Office Administration, the Student Affairs Director and the Associate Dean.

Required Qualifications

EDUCATION:
• Regionally accredited bachelor’s degree required.

• Excellent interpersonal communication skills.
• Ability to use various computer programs to create systems tailored towards the needs of the student affairs office.

• Proficient and adept with Microsoft Office (Word, Excel, Power Point, and Access).

Preferred Qualifications

EXPERIENCE:
• Two to three years in an academic healthcare environment, with an emphasis in student affairs office preferred.
• Experience working with student and faculty within a higher education environment.

Essential Duties

• Coordinate the day-to-day operations of the Office of Medical Student Affairs.
• Maintain appointment calendar(s). Schedule meetings and arrange for facilities, equipment and related details.
• Answer telephones, route callers, take messages and provide routing information.
• Organize meetings including sending emails and reminders, distributing materials, arranging for refreshments, assigned nametags and records and/or transcribe minutes.
• Maintain student record confidentiality to ensure students’ privacy.
• Administer, maintain, and monitor the fourth year student activity budget; including all incoming revenue, track outgoing expenses, preparation of all necessary forms and documentation regarding the budget.
• Assist the faculty in developing and revising selections for first and second year medical students designed to enhance the students understanding of health care disparities in underserved populations.
• Develop, revise and disseminate informational and instructional materials. Develop, revise and distribute program brochures, website, and flyers. Assist the faculty in developing instructional material including handouts and lectures and update course website. Develop packets of instructional materials and disseminate to the students in a timely manner.
• Coordinate and assist in the management of the Medical Student Performance Evaluations (MSPE) activities by arranging interviews, drafting MSPE with core rotation performance comments, assembling materials (e.g., CVs, personal statements, unique characteristics, etc.) for review by the Associate Dean and sending materials to UCLA for editing and final formatting.
• Coordinate and assist in Match Day and graduation banquet, and CDU graduation.
• Liaison to class officers, student organizations, interest groups, and community service projects.
• Perform graduation checks on Drew/UCLA student to ensure they meet graduation and licensing requirements.
• Develop, revise and disseminate information al and instructional materials. Develop, revise and distribute program brochures, website, and flyers. Assist the faculty in developing instructional material including handouts and lectures and update course website. Develop packets of instructional materials and disseminate to students in a timely manner.
• Track the submission of elective performance evaluations of medical students.
• Prepare and coordinate medical student applications for “away” electives.
• Participate in common activities hosted by the CDU Office of Medical Student Affairs and Curriculum. Attend staff meetings.

Complexity

• The ability to perform highly detailed work with sustained attention and care while providing/obtaining information on numerous inquiries is paramount to success in this position.
